Prepare product and supplier for series production

Your design and quality teams define the requirements. We check with your Chinese supplier whether the quotation, samples and evidence use the same basis. We distinguish commitments from supporting evidence.

Clarify requirements with your supplier

Prepare product and supplier for series production

You have selected the supplier, but the drawing, quotation, samples or evidence still leave open questions. We clarify one defined item with the supplier, separate promises from evidence and give you the documents for the next purchasing or approval decision, from the enquiry through to production launch.

At a glance

Suitable for
For parts made to a drawing and assemblies, from quotation request to production launch. Your supplier is selected and the technical requirements are defined. You need to check the supplier’s statements and implementation.
What we do
  • Review the documents and existing quotation for one item: contradictions, missing information, differing assumptions, missing evidence requirements
  • Clarify open points with the supplier in writing – promises and evidence shown separately
  • Clarify sample, tooling and launch questions with the supplier on agreed project days
  • Plan PPAP evidence, follow it up with the supplier and review it
Your result
Depending on the service, you receive a decision brief, clarification and action workbook, and RFQ addendum with a status for each point. A project day provides a results and action overview. PPAP Support includes an evidence plan and review of the submitted documents.
What you can decide
Whether the enquiry, order, samples or tooling order can proceed, and what your engineering or purchasing team must decide first.
Price
  • RFQ and Supplier Clarification €390
  • Development and Project Day €690 / day
  • PPAP Support quoted by scope

You send us
Send the drawing and revision, related specifications, planned quantity, and quotation or supplier questions. State the decision you need to make.
Not the right fit if
you first need to find a supplier or compare several (BUILD), want a supplier's identity, factory or production capability reviewed independently (SUPPLIER REVIEW), or need to solve an ongoing delivery, quality or cost problem (IMPROVE).
Prepare product and supplier for series production

We record commitments and supporting evidence separately so you can assess the basis for your approval.

Your engineers define the requirements. We follow up how the supplier implements them and provides supporting evidence.

Your departments remain responsible for function, design, tolerances, materials, engineering changes and safety requirements, as well as every sample, tooling and production approval. Your design team decides whether a required flatness of 0.05 mm is appropriate.

We consolidate questions, communicate requirements, chase replies and separate claims from evidence. We work in China, in Chinese and during the supplier’s working hours. We record the results to support your decision.

Which service for which case?

  • BUILD: search for and compare a new source.
  • DEVELOP: clarify one defined product with an existing or selected supplier.
  • SUPPLIER REVIEW: independently examine a supplier's identity, factory or production capability.
  • IMPROVE: address an active delivery, quality, cost or communication problem.
  • PPAP Support: a separately scoped, deeper assignment for evidence and approval submissions (further down).

RFQ and Supplier Clarification: one item, one supplier, decision-ready clarification · €390

You can use the results without a follow-up order. We check where your supplier might interpret or price requirements differently. With your approval, we clarify those points in one written round. You can then see what is confirmed, supported by evidence or open, and what you need to decide.

When it helps
  • Before an enquiry goes to your existing or already selected supplier – or before you accept its quotation.
  • When the supplier interprets your drawing differently, or simply confirms it is “feasible” without saying how it will make and inspect the part.
  • When it is unclear which assumptions about material, machining, surface, tooling or inspection the quotation rests on.
  • When your team sends questions to China and only incomplete answers come back.
  • When a first sample deviates and you want to clarify, before the next sample round or order, whether the drawing and requirements are unambiguous.
Fixed price and scope

One item, one supplier, one specific decision. For €390, we review one item in an agreed revision with a standard document package comprising the drawing, related specifications and expressly named standards. The scope also covers an existing quotation or other commercial basis where available, an existing or already selected supplier for the clarification round and one specific procurement decision. We identify inconsistencies and supplier assumptions. With your approval, we conduct one consolidated written clarification round and follow up no more than once. We assess the first substantive reply received by the agreed cut-off date.

You receive a compact decision brief as a PDF, an editable clarification and action workbook with up to three priority characteristics or points for sampling, and an editable RFQ addendum for the supplier. A 30-minute handover call is included. The files belong to you; no follow-up engagement is required.

Supplier search, several suppliers or quotation rounds, engineering design or drawing changes, complete inspection planning or PPAP documentation, sample and laboratory testing, and on-site work are not included. For considerably larger cases, we state the additional scope and quote an adjusted fixed price before work starts. Examples include assemblies with many parts, extensive specifications, unusually large document packages or several suppliers. Additional work starts only after written approval.

You send us

Send the drawing and revision, related specifications, expressly applicable standards, planned quantity, and existing quotation or commercial basis. Include supplier questions or sample reports and the decision you need to make.

What we check

We check where the supplier might interpret or price your documents differently, or commit without supporting evidence. We rank each finding by its effect on quotation, first samples and ordering.

  • Revision status and contradictions between the drawing, specification, enquiry and quotation.
  • Material, surface treatment, heat treatment and possible “equivalent” alternatives.
  • Critical characteristics, acceptance conditions and intended evidence.
  • Production and costing assumptions that may be missing from the quotation.
  • Tooling, inspection, marking, traceability and packaging where relevant to the decision.
How we ask

We consolidate open points into one supplier enquiry, written in English and, where it helps clarify the questions, in Chinese.

Instead of “Can you hold 0.05 mm flatness?” we ask:

  • Which production step creates the characteristic?
  • Is machining planned for it – and is it included in the quotation?
  • How, and with which measuring equipment, will you inspect it?
  • Which evidence will you supply with the first sample?
Clarification with your supplier

With your approval, we send one consolidated written clarification and follow up no more than once. We assess the first substantive reply received within ten Chinese working days of the clarification questions being sent. We state the cut-off date when accepting the assignment. Without authorisation for direct contact, your team receives the same questions to send. Later replies, new revisions and further rounds are excluded and quoted in advance if required.

Promise or evidence

Each material point receives a status. You can see whether the answer is sufficient and which evidence or decisions remain outstanding:

CLARIFIED – answered unambiguously and recorded in writing, for example in the quotation; where evidence is needed, it is available.

PROMISED – the supplier confirms; the agreed evidence is not yet due, for example the measurement report with the first samples.

EVIDENCE MISSING – evidence that was requested or is due has not been provided.

YOUR DECISION – the supplier proposes a deviation or alternative; your engineering or purchasing team decides.

OPEN – not answered, or not answered sufficiently.

We mark changes to drawings and requirements as proposals. Approval remains with you. We do not change your drawing.

You receive

The three files belong to you: a PDF decision brief, an editable clarification and action workbook for Excel or LibreOffice, and an RFQ addendum for Word or LibreOffice. You can send the addendum yourself or ask us to send it. The overview below explains the contents. We state the file delivery date and reply cut-off when accepting the assignment. During a 30-minute handover call by video, we discuss findings, supplier assumptions, commitments and decisions for engineering and purchasing. Brief questions about our results are covered. No follow-up order is required.

The three files of the RFQ and Supplier Clarification
FileContentWhat you use it for
Compact decision brief (PDF)Item, revision and documents reviewed; confirmed facts and supplier statements; contradictions and important gaps; WJY assessment with the recommendation READY FOR RFQ, RFQ WITH CLARIFICATION POINTS or HOLD RFQ FOR NOW; recommended next actions and the decisions that are yours.Deciding whether and how the enquiry or order proceeds. The recommendation rates the basis for the enquiry and order. It does not rate production readiness or award a Q stage.
Clarification and action workbook (Excel or LibreOffice)For each point: question, supplier answer or explicitly unanswered point, evidence status, status, owner and next action – sorted into “before quotation”, “before sample approval” and “before ordering or tooling commitment”. Plus up to three priority characteristics or points to carry into sampling.Working through open points and seeing their status at any time. The priority points are not a complete inspection plan and not a PPAP submission.
RFQ addendum (Word or LibreOffice)Requirements and clarification questions in a form you can send to the supplier or have us send: document precedence, proposed clarifications, what the quotation must include, required samples and evidence, open assumptions. Proposals not yet approved are marked.Giving the supplier an unambiguous basis – for a reliable quotation and a clean order.

Example (fictional): die-cast housing – an attractive quotation, three open assumptions

Aluminium die-cast housing, revision C. Your existing supplier has submitted a quotation that is cheaper than expected. An invented example, not a client case: three findings and what they become in your files.

Sealing face: machining not in the quotation

Finding
Flatness 0.05 mm on the sealing face, which the drawing leaves unmachined. The quotation mentions no machining step.
Consequence
Difficult to hold reliably in die casting without machining. Either machining is missing from the price or the supplier assumes a different tolerance – the quotation only looks cheap.
When to resolve
Before ordering.
In your files
The RFQ addendum contains the unapproved proposal “sealing face machined after casting; flatness applies after machining”. We ask the supplier about the production step, machining in the price, measuring method and evidence. For sampling, we recommend measuring flatness on every first sample and recording it in the measurement report.
Your decision
Your design engineers decide: machined face or a tolerance adapted to the function.

Material: “ADC12, equivalent” is not yet an approval

Finding
The drawing states EN AC-46000. The quotation states “ADC12, equivalent”; no material evidence has been defined.
Consequence
ADC12 is defined in another standard; a different designation is not automatically equivalent. Without defined evidence there is no proof on delivery of what was used.
When to resolve
Material before ordering, evidence before sample approval.
In your files
Supplier question covering the material, standard values and available evidence. The action workbook requires a binding material designation and suitable evidence for each delivery.
Your decision
Your design engineers decide on ADC12 against the standard values – we give them the supplier's concrete statement to do so.

Coating without a testable acceptance requirement

Finding
“Powder-coated black” – without colour shade, gloss level, coating thickness or adhesion test.
Consequence
The supplier chooses; deviations are hard to contest at sample inspection.
When to resolve
Before sample approval.
In your files
The RFQ addendum states proposed requirements for colour, gloss, coating thickness and adhesion testing, marked for your approval. Sampling point: check coating thickness and adhesion on the first sample.
Your decision
You approve the values or add them to your drawing.

Development and Project Day · €690 / day

When technical questions cannot be settled by email, we clarify them at the supplier – on one day with a programme we agree with you in advance.

When it helps
  • Sampling rounds are running and deviations need to be clarified characteristic by characteristic with the supplier's engineering and quality staff.
  • Promises from the supplier clarification should be checked at the machine, tool or inspection station.
  • Tooling questions are open: tool status, first tool samples, planned tool changes.
  • A pilot run or the first series production should be accompanied on site.
You send us

Objective of the day, drawing and revision, open points (for example a deviation list or sample report), contact person at the supplier and preferred date.

Example programme
  1. Open points and sample deviations with the supplier's engineering and quality staff: deviation, cause, proposal.
  2. Walk along the planned production route: machines, fixtures and measuring equipment for the critical characteristics.
  3. Tool status and open changes.
  4. Close: name missing evidence and decisions; agree actions with owners and dates with the supplier.
You receive

You receive a results and action overview using the status model explained above. It shows who is to provide what, and by when.

Conditions

A project day covers up to eight hours including travel, plus up to one hour of follow-up. Travel within 100 km of Nanjing is included. Elsewhere in the Yangtze River Delta, a regional supplement applies per journey, with an indicative amount of €120. We confirm it in the quotation for the planned route. Outside the Delta, travel and accommodation require your prior approval and are charged against receipts. Further days require your prior approval.

Limits

Measurements and laboratory tests are included only if agreed separately. You give the supplier the approvals for samples, tooling and costs.

PPAP Support · quoted by scope

Your customer requires PPAP or a PPF submission under Volume 2 of the German Association of the Automotive Industry (VDA). Your quality team defines the submission and required evidence. We clarify with the Chinese supplier who must provide what, and by when.

When it helps
  • The supplier does not know the required submission procedure, or only partly.
  • The supplier's documents are incomplete or contradictory.
  • Several functions at the supplier must provide evidence, including production, quality and sub-suppliers.
  • Your customer's submission date is fixed and the evidence must be complete in time.
You send us

Send your customer’s submission requirements: the submission level or required elements and customer-specific requirements. We also need the drawing and revision, existing supplier documents and submission date.

What we do
  • Identify the required elements from your customer's submission requirements, for example dimensional results, material and performance test results, process flow, process FMEA (failure mode and effects analysis), control plan, measurement system and capability evidence, cover sheet or Part Submission Warrant (PSW).
  • Evidence plan: for each element, who produces it (supplier, inspection body, laboratory), by when and in what form.
  • Supplier coordination: explain the requirements, follow up missing documents and corrections, clarify questions.
  • Document review: completeness, revision, measured values against the drawing, contradictions between documents.
You receive

The evidence plan with responsibilities and dates, and the review result for the submitted documents with the status of each element and the open points.

Limits

Approval of the supplier's documents and the submission to your customer remain with you. We fix scope and price in a binding quotation before the order.

Common questions about this service

Why WJY if we have our own engineers, quality team and purchasing?

Your departments retain technical decisions. We communicate requirements in China, in Chinese and during the supplier’s working hours. We chase replies, clarify statements and request evidence. Your team gains additional capacity for working with the supplier.

When is the RFQ and Supplier Clarification worthwhile, and when is it not?

It helps when your team needs to clarify questions with a Chinese supplier and wants to use the results itself. The decision brief, action workbook and RFQ addendum belong to you; no follow-up order is required. Our additional value is limited if your own technical purchasing or supplier-quality staff in China handle the same points locally and in Chinese. If the preliminary review shows that, we tell you before you place the order.

What if the supplier replies late or not at all?

You receive the complete review of your documents. We mark unanswered questions as open in the clarification and action workbook. We assess the first substantive reply received within ten Chinese working days of the clarification questions being sent. We state the cut-off date when accepting the assignment. Later replies or further rounds are agreed separately.

Terms section 11: Deadlines, dates and delays

Do you provide engineering design or technical approvals?

No. We point out conflicts, room for interpretation, possible manufacturability questions and the supplier's proposals; you decide on drawing changes, material equivalents and approvals.

Do you measure or test samples yourselves?

Measurements and laboratory tests are not part of DEVELOP. If needed, we name inspectors or laboratories in the quotation. You approve the costs in advance; we evaluate the results within the agreed scope.

Terms section 16: Inspectors, laboratories and other specialists

How does DEVELOP relate to building a new supply source?

When building a new source, DEVELOP complements the VALIDATE and SECURE PRODUCTION stages where the drawing, samples or tooling need extra clarification. For existing suppliers, you book DEVELOP as a standalone service.

Which costs come on top?

You approve samples, tooling, testing bodies and other third-party costs before ordering them. Project days use the travel rules described above.

Terms section 7: Changes, additional services and third-party costs
